Wow Ben, that sounds like a heck of a complicated process! I would imagine that getting 20 people from a range of different organisations in the same place on the same day is a real nightmare.
It seems to me that there's a great deal of overlap between the roles of most of the Ad agency staff. Everyone has some sort of say in the final production and I would imagine it's a bit of a diplomacy minefield getting your job done/opinion heard, without treading on the toes of other staff in the agency.
